Management Assistant General Manager International Distributors Biscoff

Functie

As a Management Assistant, you provide daily support to the General Manager (GM) International Distributors (ID) Biscoff. You are responsible for various administrative and coordinating tasks. You are part of the International Distributors team, and are based in Lembeke, Belgium.

  • You ensure that the GM ID Biscoff can focus on his core responsibilities and tasks, by supporting him with daily administrative tasks.
  • You organise the daily management of the GM’s agenda. You maintain an overview of appointments and meetings and ensure a smooth organization.
  • You develop and optimize PowerPoint presentations based on provided input and concepts.
  • You organize the GM’s business trips from beginning to end, coordinating with external travel agencies, hotels, transport companies, and other relevant parties.
  • You play a pivotal role in organizing ad hoc events, such as commercial partner meetings, customer visits, and participation in fairs, utilizing your organizational and coordinating skills.

  • You hold a master's degree, complemented by a first experience as a management assistant.
  • You possess a strong sense of responsibility, are detailed and discrete and with your organizational skills you are able to take on several projects simultaneously.
  • You radiate drive, warmth and enthusiasm.
  • You thrive in an international team environment.
  • You are proficient in MS Office and show an interest in learning new software systems.
  • You have excellent communication skills in English, both spoken and written. Proficiency in Dutch is a plus.
  • Brieven, verslagen, nota’s, ... opstellen en redigeren
  • Tools voor de opvolging van de activiteiten en situatieoverzichten ontwikkelen en bijwerken
  • Documenten ingeven, briefwisseling behandelen en e-mailberichten beheren
  • Professionele informatie en reglementering bijwerken
    Documenten archiveren en klasseren
  • Afspraken en planning van een verantwoordelijke of een medewerker organiseren
    Telefonische oproepen en bezoekers filteren
  • Beslissingen, dienstnota's, contracten behandelen en doorgeven, zowel intern als extern
  • Verplaatsingen van de verantwoordelijke of van teamleden organiseren
  • Vergaderingen voorbereiden en organiseren (uitnodigingen, voorbereiding van de dossiers, reservering van zalen, ...)
  • Communicatieacties en evenementen plannen en organiseren
  • Dossiers behandelen en opvolgen (samenstellen, samenvatten, bijwerken van bestanden, ...)
